Withdrawal Policy & Refund Schedule

Emmanuel College's Refund Schedule*

After the start of classes, fees are not refundable; tuition, room and board are refunded based on the College's refund schedule below. To officially withdraw from the College, students must complete a Withdrawal Form, which is available in the Registrar's Office. Non-attendance does not constitute an official withdrawal.

Leave of Absence

The College's withdrawal procedures and policies apply to all students, including those taking a leave of absence. For more information on taking a leave of absence, including the full medical leave of absence policy, click here.

Course schedule changes may be made during the semester's add/drop period. After the add/drop period, students are liable for the cost of courses from which they withdraw. Student enrollment and housing status are confirmed after each semester's add/drop period before financial aid is disbursed. Student aid may be adjusted if their enrollment and/or housing status changes from the original status as provided on their Financial Aid Letter.

Tuition refund insurance is available through GradGuard to help protect your investment if the student leaves school prior to the end of the semester due to illness, injury or death. Students have the option of purchasing varying amounts of tuition insurance based on the needs of the student and family.

Participation is optional and the program is not administered by Emmanuel College. The College's refund schedule is applicable whether or not you enroll in the tuition insurance plan.

The deadline for purchasing tuition insurance is prior to the start of each semester.

We encourage students to contact Student Financial Services prior to withdrawing so they can understand the financial impact of their decision. In circumstances where the refund calculation (see below for more information) requires that Emmanuel College return unearned funds to the federal government, the student may still owe a balance to Emmanuel. 

Eligibility for Financial Aid:

When the student’s official date of withdrawal* falls between the first day of classes and the 60% point of the term, financial aid is adjusted as follows:

• Emmanuel College Grants & Scholarships: are prorated to match the refund schedule. For example, if you are responsible for 50% of charges, you will receive 50% of Emmanuel-funded grants and scholarships.
• Federal Financial Aid: Federal Title IV financial aid (Pell Grant, TEACH Grant, Direct Loans, Direct PLUS Loans, Supplemental Educational Opportunity Grants (FSEOG) is pro-rated based on the percentage of time enrolled at the College. For example, if you completed 30% of the semester, you are eligible to receive 30% of the federal financial aid you were originally scheduled to receive. When funds are required to be returned, they are returned in the following order: Unsubsidized Direct Loans, Subsidized Direct Loans, Direct PLUS Loans, Federal Pell Grants, FSEOG, TEACH Grants, Iraq & Afghanistan Service Grants.  Federal funds are returned within 45 days of the student’s official date of withdrawal. If the student is eligible to receive a disbursement of federal funds after withdrawal (post-withdrawal disbursement), the student will be notified of their eligibility for these funds via Emmanuel email and the funds will be disbursed within 30 days of withdrawal; the funds will not be disbursed for students who decline the post-withdrawal disbursement. 
• Other Sources of Financial Aid: State and private financial assistance is adjusted based on the requirements of the fund provider.

*Non-attendance does not constitute a withdrawal, to officially withdraw from the College, please complete a withdrawal form. For students who do not officially withdraw from the College, the withdrawal date is based on the date of the student’s last academically related activity. The official withdrawal date is determined by the Registrar’s Office.

Next Steps for Student Loan Repayment:

All student loan borrowers are required to complete exit counseling prior to withdrawing, dropping below half-time status or graduating. Exit counseling will provide you with your rights and responsibilities as a student loan borrower and prepare you for repayment. • Loans will be submitted to the National Student Loan Data System and will be accessible by guaranty agencies, lenders and schools determined to be authorized users of the data system
• Most loans are deferred (repayments not required) for six months after you are no longer enrolled in school at least half-time. Check with your lender for your specific deferment period – also referred to as grace period.
• Federal student loans have payment options developed to help students in all financial situations. Your loan servicer will handle the billing as well as work with you on repayment options. If after paying your tuition bill you have a credit balance on your account, you can request a refund by submitting the online Credit Balance Refund Request Form. Should you want to receive the maximum credit you are entitled to, choose the "Receive Refund of Credit on Account” option on the form.
 

If you borrowed a loan in excess of direct costs and are anticipating a refund for a semester, credit balance refunds will be available starting in mid-October for the Fall and mid-February for the Spring. We recommend students budget accordingly if they plan to use these for living expenses.
 

To verify if there is a credit balance on your account, view your account details here. If you see a negative amount due (example. -$1,000), it means that your total payments and/or financial aid exceed your charges for the semester and you now have the following options:

• Reduce any existing loan amounts. Please email the Office of Student Financial Services at financialservices [at] emmanuel.edu (financialservices[at]emmanuel[dot]edu) to make your request.
• Keep the credit on your student account to be applied towards the next semester’s tuition bill. No further action is required if you choose this option.
• Request a refund for the credit. This requires submission of the online Credit Balance Refund Request Form to provide instructions for processing your refund.

For refund requests, we strongly recommend using direct deposit. Please view and update your Banking Information and Direct Deposit as necessary on EC Online Services.
