Classroom & Public Use Computers

Emmanuel IT provides public and classroom computers for community use.

This includes three computer classrooms, a technology-equipped Library Reference Area, public computers in the Jean Yawkey Student Center, as well as all academic and residential spaces. From these locations, users can use all basic software (Office, web browsing, etc.) and print to any ECPrint device.

Please note that any files saved or changes made to these devices will be lost upon restart.

These computers are public and can be used at anytime according to building/room schedule. To request a computer classroom, contact the Registrar's Office at registrar [at] emmanuel.edu (registrar[at]emmanuel[dot]edu) or 617-735-9960.
 

Computer Distribution

Faculty and staff are provided a computer with a recommended four-year replacement cycle.

Computers are purchased and configured to ensure proper operation, performance, and reliability for each employee. Additionally, standard software is installed on each computer (See Includes tab.)

Standard computer configuration is a 14.1" Windows laptop with 27" external monitor. Each laptop comes with a carrying bag and USB mouse. Software provided by default is Microsoft Office, Anti-Virus Software, Google Chrome and Mozilla Firefox web browsers, and connection to the Emmanuel network.
 

Requests for equipment outside of our standard configuration is made on a case-by-case basis and must be approved by the Director of IT Services and Support.

Computer Repair

IT-provided computer repair and diagnosis for all Emmanuel-owned computers.

Limited support is available for students. Staff/faculty support is wide-ranging and includes up to a full computer replacement depending on level of repair needed. Student support is limited to diagnosis on a "best effort" nature with advice on local repair service shops.

Emmanuel IT does not make hardware or major software repairs to student computers. All support to student hardware is on a "best effort" nature and focused on educating the student on best route to repair themselves or get cost effective repairs outside Emmanuel.

Printing and ECPrint

Emmanuel provides printing and imaging services, called ECPrint, for all students, staff, and faculty across campus.

EC Print devices are located in each academic, administrative, and residential building. Printing and imaging services can be utilized from any Emmanuel computer by printing normally or on non-Emmanuel computers by using ECPrint's WebPrint while on the Emmanuel network.  Print devices also provide copy and scan-to-email functionality at all locations. Additionally, faxing and color printing services are available at selected devices (See locations tab for details).  Students are reset to $35 worth of print credit at the beginning of each semester (roughly 800 pages).  Print costs per page are $.04 for black and white and $.25 for color.  Double sided printing gives a 15% cost reduction per side.  For more information on the service, locations, and frequently asked questions, see the tabs below or go to the EC Print User login page below:

EC Print User Login

Students that work for an on-campus department or are part of a student organization and have print responsibilities attached with this membership can get an increase in their print quota. To get this increase, the supervisor or student activities advisor for that student must submit a print quota increase request by sending in a ticket or emailing the Helpdesk at helpdesk [at] emmanuel.edu (helpdesk[at]emmanuel[dot]edu.) This request should include student name, increase requested, and reason for request. Supervisors and advisors may find it necessary to attach an excel spreadsheet with this information.

Once approved, this increase is only active for the requested semester. A new request must be submitted for each semester as necessary.

Below please find a list of EC Print public locations. All devices are capable of black and white printing, copying and scan to email. Color printing and fax are available at select locations. This list does not include devices assigned specifically to a Staff or Faculty department.

In addition to this list, there are 2 or 3 printers located in the lobby of each on campus dorm and 1 device located at the Notre Dame Campus.

FAQs

1. What print and imaging services does IT provide?

Emmanuel IT has partnered with Toshiba to provide 17 print locations with 27 print devices for students. These locations will be in every building on campus, including dorms, to provide students with easy access. Each of these devices provides full printing, scan to email (B/W and Color), and copying. Additionally, select locations on campus will provide access to color printing/copying and fax capabilities (see the ECPrint Information Site for location details).

The new system also provides the ability for students to print from any computer and retrieve the print on any Emmanuel device using our "Web Print" functionality (http://ECPrint.emmanuel.edu). In conjunction with this project, a print quota is being implemented that will provide a set value of print to each student. Details about each statement in this paragraph are provided in other FAQ's below.

2. Where are print devices located?

Student print locations by building list shown in the image below. For a detailed list of the devices and where they are located, go to the "Device Locations" tab.

3. How do I use this print system and what does "Follow Me" Print mean?

With our system, the two steps to printing are to upload your document then release your print at a print device. You can upload your document by either using Web Print on the EC Print site or by printing from an Emmanuel computer (Such as in the Library or dorm lobbies). Click this link for a tutorial on using "Web Print". With this system, the uploaded document is not sent to a specific print devices but instead stored in our print system. The student would then visit any print location on campus to complete the print by tapping their ID and selecting the associated print listing. See instructions for using our devices in the "Tutorials and Guides" tab. This provides many benefits, including the ability to print from student laptops using Web Print, protection from a printer out of toner/paper, ability to avoid busy print locations, and paper savings for prints with errors.

4. What is Web Print and is that the only way to print?

Web Print is the web-based tool for students to see their current quota balance, print history, and upload documents to be printed from any computer. To access Web Print, click on the "EC Print" on the MySaints Portal Applications list or go to http://ECPrint.emmanuel.edu. For specific instructions and more details, see other questions in this FAQ or visit the "Tutorials and Guides" tab.

No, Web Print is not the only way to print. Students can still print from the public computers offered by Emmanuel IT, but would release their print jobs in the same fashion as printing from Web Print.

5. Is there a print quota for students?

Yes. In reviewing the direction of print services in education, including our COF neighbors, print quotas have become a standard.  Given our research of Emmanuel student usage in Spring 2013 and industry standards, we are confident this quota is adequate for the academic needs of all students while being conscious of Emmanuel's environmental impact. With our quota, Emmanuel provides the highest print quota (in terms of pages) of all COF schools (as of Spring 2014). Emmanuel IT, in conjunction with Student Affairs, will review this quota based on student feedback to determine if an increase/decrease is necessary.

6. What is the quota and when is it reset?

The quota given to Emmanuel students is $35 and is reset to this amount at the beginning of each semester. It is important to note that this is not "real" money, but instead more a print credit. This money does not exist anywhere, nor can it be refunded for real cash. Additionally, when comparing our quota to others it is important to put the page costs in context. For example, another college or university may provide $50 in quota, which seems higher than our quota. In this scenario, that institution may charge 2 or 3 times more per page than Emmanuel, therefore the $50 actually equates to half as many pages allowed. 7. What happens when my quota reaches $0?

Once a student has exhausted the $35 print quota, print costs will then be pulled in $1.00 increments from your Fenway Cash on your Fenway Card. Adding money to your Fenway Cash is no different for print than for purchasing other items. If the quota has been exhausted and there is no Fenway Cash available, the print device will display an error until funding is added. You can add value to your Fenway Card account by using the link under "My Accounts" on the MySaints Portal.

Example: If a student is at $0 remaining in quota and prints a document costing $.21, $1.00 will be removed from Fenway Cash and transferred to their Web Print account. The $.21 will then be removed from the Web Print account, leaving $.79.

8. I work on campus or am part of a student organization on campus. How will I print without using my personal quota?

Students that work for an on-campus department or are part of a student organization and have print responsibilities attached with this membership can get an increase in their print quota. To get this increase, the supervisor or club advisor for that student must submit a print quota increase request using our form.  Once approved, this increase is only active for the requested semester.  A new request must be submitted for each semester as necessary.

9. Is there color printing available?

Yes. There are a variety of color printing devices on campus for student use.  Locations include the Library, Administration Building, Wilken's Science Center, and more.  See the "Device Locations" tab for more information.

10. Does my quota get charged for scanning or faxing?

No. Scanning and faxing are free services. The only services that are charged to your quota are printing and copying.

11. I used the Copy Center for certain print projects in the past. Is the Copy Center still be available?

Although the new devices provide many of the print needs once done by the Copy Center, there are other services provided or unique scenarios in which the Copy Center can still be helpful.  As in the past, the use of the Copy Center is contingent on budget approval.

12. Can I print double sided and what are the costs in comparison to single sided?

Yes. All student print devices have the ability to print double sided. Double sided printing is provided a 15% discount per side. See the chart below for cost comparison.

13. If I don't have my ID with me, can I still use the new print devices?

Yes. Although tapping your ID is the most convenient method of accessing the devices, you can also manually enter your Emmanuel username and password on the touch panel.

14. What if I need to print documents other than Office/PDF or with custom print settings?

Although using our Web Print functionality is convenient, it has some limitations when printing documents not in office or pdf format. In most cases, commonly used applications provide the ability to save into either office (.doc, .xls, etc.) or into .pdf. Once in these formats, Web Print will work perfectly for you. On the other hand, when using custom formatting, such as printing 3 powerpoint slides per page, there are settings that need to be adjusted during the save process. See the "Tutorials and Guides" tab to get instructions on some of the most common print tasks.

Students can also print from the public computers in the dorm lobbies, Library Reference Area, Library Computer Lab, or others to get normal print capabilities. In this case, a pop-up box will appear asking a user to login before the print is complete. You would then retrieve your print at one of our devices as normal.

15. Can I get a refund for something I printed?

Should you experience an issue with your print job (i.e. streaking toner), you can complete the "Refund Request" form on the Web Print website (ECPrint.emmanuel.edu). Once in the ECPrint site, go to "Recent Print Jobs" and select the "Request Refund" for the associated print. Reprints will not be provided for prints made by mistake, blank pages or for materials such as web pages that are difficult to read, do not contain the information you want or have large areas of blank space. If the refund is approved, the value will be returned to your account.

16. I printed something, but don't need it anymore. What should I do and am I charged?

Prints that are not released are deleted from your queue after 24 hours, so you don't have to do anything. You could also go to a print device and choose to "Cancel" a print from your queue. You are not charged for these prints, as only prints that are released from a print device incur a charge.

17. How can I save money on printing?

Here are some tips on how to maximize your print quota

Proof read your work before printing

Print PowerPoint presentation as handouts, selecting to print 6 slides per page
18. Can I print from off campus or from Notre Dame Campus?

Yes - ECPrint is available for upload at any time, anywhere.

19. What are the limitations between using Web Print and printing from an Emmanuel computer (Dorm lobby, Library, etc.)

Although Web Print is convenient, it does have limitations. When printing using Web Print, only certain file types can be printed. These file types are word, excel, powerpoint, PDF, and JPEG. Additionally, printing in these formats will use the default settings, therefore some custom printing options are not available by default (printing specific pages, multiple slides per page, etc.). There are ways to achieve some custom printing by saving items as PDF's and adjusting the PDF settings. For tutorials on different custom printing options, see the "Tutorials and Guides" tab.

In comparison, printing from an Emmanuel computer has no such limitations. This print method is the same as previously provided in the Library Reference area and Computer Lab. Students who want more control with a specific print should visit an Emmanuel computer station, such as in the dorm lobbies or Library.

20. I printed using the color queue, but when I go to the print device I don't see my print job. What do I do?

When printing a document to the color queues, you will only be able to view/print from a color print device. See our list of locations on the "Device Locations" tab or reference the instructions near your local print device for the nearest color device.

All devices are able to scan and copy as well as print. Since users print to a personalized queue instead of a specific printer, users can release any document held in their personal print queue from any print device on campus. Additionally, all of the devices are multifunctional devices and are extremely efficient in conserving energy and toner.

4. Where are the print devices located?

Each Faculty and Staff member will have access to all printers on campus. Your department or area will be equipped with a print device for your primary usage, but other devices may have different functionality for occasional use. For a detailed list devices and where they are located, see the "Device Locations" tab.

5. I used the Copy Center for certain print projects in the past. Is the Copy Center still available?

Given the lower cost of our EC Print print services, we highly recommend the use of EC Print devices instead of your basic Copy Center needs. Although ECPrint  devices provide many of the print needs once done by the Copy Center, there are other services provided or unique scenarios in which the Copy Center can still be helpful. The use of the Copy Center is contingent on budget approval. The copy center is not a service provided by the IT department.

11. Is there a print/copy quota for users?

Staff and Faculty have no print/copy quota or limit. Staff and Faculty print/copy usage will be monitored (in terms of volume, not document specifics) and shared with Faculty/Staff Administration as deemed necessary to ensure proper use, fiscal responsibility, and environmental responsibility.

12. Who provides toner/paper for devices? Who provides service?

IT provides paper and toner for all public devices listed in the "Public Print Devices Locations and Features" list on the EC Print information site. For any device outside of this list, paper (purchase and installation) and toner (installation) is the responsibility of the Staff or Faculty department in the print area. New toner for these devices is automatically shipped to the associated department once the toner level reaches 10%.

13. How do I submit a service call?

Please contact the IT Helpdesk either by phone or email to submit a support request. All vendors used prior to the new print system (ex. Page After Page, A-Cal) are no longer in use by the college and should not be contacted.

14. What data does IT collect about printing and how is it being used?

With EC Print, IT is able to monitor print volume across devices to ensure that all devices are working within their limitations. In addition, we are able to measure environmental impact of devices and users. IT does not collect any information regarding the contents of documents submitted, only the cost associated with printing the document. By using a cost per page model, we are able to quantify usage and impact across campus to better understand and fulfill the needs of the college as a whole.

16. Does scanning or faxing have a cost?

No. Scanning and faxing are free services. The only services that have costs associated to the college are printing and copying. Scanning and faxing do not charge to a student quota.

17. Can I print double sided and why would I want to?

Yes. All print devices have the ability to print double sided. Double sided printing is highly encouraged by the college to reduce waste of paper and decrease environmental impact. Students who print double sided receive a 15% discount per page. Any print job that exceeds 9 pages will be prompted for duplex printing.
