Publication Requests: A Step-by Step Guide

The Office of Marketing Communications (OMC) coordinates the design and printing of all College publications and is available to guide you through the entire process - from concept to delivery. The Office has developed a system to ensure timely delivery of your publication. For most projects, requests should be submitted at least 12 weeks in advance of your delivery deadline. Depending on the complexity of your project, you may need to submit your request more than 12 weeks ahead of your delivery date. If your publication is being mailed, you will need to plan accordingly. Please contact the OMC if you have any questions on the timing of your project.
The following tasks are involved in a new publication project(see flowchart above):
- Submission and processing of an online Publication Request Form
- Coordination and execution of the initial project meeting
- Scheduling the project on the Publications Calendar
- Creation of a Project Agreement and Production Schedule
- Creation and submission of the finalized text for the publication
- Designing the publication
- Proofing, editing and revising the publication
- Acquiring print estimates
- Acquiring a purchase order and getting proper sign-off on the print estimate
- Preparation of the files for print
- Printing the publication
- Delivering the publication
Web & E-Communications Requests: A Step-by Step Guide

The OMC coordinates the design and implementation of all College web pages and official e-communications. Depending on the complexity of the project and the work load of the staff, the time required to complete a project can range from a few days to several months or longer. Please submit the Web & E-Mail Request Form as soon as it is confirmed that a web or e-communications project is needed so that we can plan for your project accordingly.
The following tasks are involved in a new web or e-communication project:
- Submission and processing of an online Web & E-Mail Request Form
- Coordination and excecution of an initial project meeting (for larger projects) or e-mail/phone clarification (for smaller projects)
- Scheduling the project on the Publications Calendar
- Creation and submission of the finalized text and artwork for web or e-mail project
- Designing and coding of web or e-mail project
- Testing and de-bugging of web or e-mail project
- Proofing, editing and revising of web or e-mail project
- Retest of web or e-mail project
- Approval of web or e-mail project
- Publication of web project or delivery of e-mail communication
